Send Smart Email Reports from Preview Window

Ensure the report has been set up to open in Smart Mode:

From the Report Setup window, open the Smart Elements tab and select the Smart Email sub-tab.

Select the Display 'Open Report in Smart Mode' button on Report check box.

If you have changed any settings in the Report Setup window, click Apply to save your changes.

Run the smart report so that is displayed in the Report Preview window.

Click the Email button in the Report Preview toolbar to email the displayed report to recipients using the settings specified above.
The Email Report window opens, prompting you to specify recipients of the email and any special messaging.

Enter the email address of the intended recipient in the To Address field.
If you are entering multiple recipients, separate the email addresses using a comma.

Select a member of Maintenance Connection, or a recipient stored in your Maintenance Connection Address Book:

Click the To button.
The Select Recipients window opens.

Choose one or more of the following options:

To select an individual already in the address book:
-
Select My Address Book from the field at the top of the window.

Select the individual's name in the recipient list.
Press and hold the CTRL button on your keyboard to select multiple values.

Click the To, CC, or BCC button.
The recipient is moved to the appropriate field.
If you have added an individual in error, double click the name in the list on the right and it will be removed from the list.

Repeat as necessary.

Select a Maintenance Connection Requester, Labor Source, or Contact:

Select the appropriate type of individual from the field at the top of the window.
The list refreshes with the appropriate individuals listed.

Click the Apply button.
The selection is applied and you return to the Email Report window.

If you want to add additional recipients as carbon copy or blind carbon copy recipients, click the CC or BCC button and proceed as described in step 5.

Select the priority for the email from the Priority field.
The default setting is normal (no level of urgency defined).

Modify the subject line for the email, if desired.
The report name is populated by default.

Enter a message to appear in the email content, directly above the report data, in the Message field.

Click the Apply button.
Once the email has been successfully sent, a message displays, indicating the email was sent to the intended recipients.

Click the OK button.
The window closes. You are returned to the Report Preview window.

Click the Close button.
The window closes.
